Registry office wedding photos: why your guests have the best shots
The ceremony at the registry office is usually short, and there isn’t always a photographer. Yet a lot happens that day that you’ll want to look back on: your first photo as a married couple outside the town hall, the hugs on the steps, the toast at the drinks reception, the long table at dinner afterwards. Photos are almost always taken – just by your guests, each on their own phone.
Those are exactly the pictures that scatter across camera rolls and chats after the day. A shared gallery collects them where they’re taken: guests scan a QR code or open the event link, take photos in the browser, and every picture lands in one place only you and your guests can see. Even guests who only join for dinner in the evening can see the morning’s pictures and add their own.
Collecting civil ceremony photos: from the ceremony room to dinner
Outside a registry office there are usually no tables to put cards on. So send the link ahead – together with the digital invitation or in a short message to your guests. Once they’ve opened it and confirmed the privacy notice, they’re in for the whole day, with no app and no account. Giving a name is optional.
Some town halls have thick walls, and reception in the ceremony room can be weak. Shots taken with the event camera are then stored on the phone and uploaded as soon as there’s a connection again. For dinner in the evening, also put a card with the QR code on the table – designed in the editor, in A4, A5 or A6.
A small civil ceremony: private and with an expiry date
A small celebration doesn’t mean the pictures should be public. The gallery can only be reached through your secret event link, the servers are in Germany, and after the day you close the event to new guests. You can reject or delete any photo. If you like the feel of a disposable camera, limit the shots per guest to 5, 10, 15 or 25.
For most small ceremonies the “50 guests” package is enough – a one-off payment, no subscription, with 90 days of storage from the event date. With up to 5 guests Sammelmomente is free, and the pictures stay for 7 days. Download everything as a ZIP in good time, for a photo book or the thank-you cards; after that the event and photos are deleted automatically. If a church wedding or a big party follows later, simply create a separate event for it.
Collecting photos at your registry office wedding: step by step
- Create the event and get your QR code. You create your event in the browser, pick colours and a welcome message and get a QR code plus link straight away. It only takes a few minutes.
- Hand out the code. Print the card from the editor in A4, A5 or A6 and put it on the tables at your registry office wedding – or send the link to the group beforehand.
- Guests take photos in the browser. Scan, confirm the privacy notice, start shooting. No app and no account. With poor reception, shots are stored and uploaded later.
- Reveal the gallery and save the photos. You open the gallery straight away, at a set time or with a click. Then you download all the pictures as a ZIP.

How to make it work on the day
- Send the event link to your guests ahead of time, for example together with the digital invitation. There’s rarely a table outside a registry office to put a card on – this way everyone already has the link on their phone.
- Ask your registry office whether photos are allowed during the ceremony, and tell your guests beforehand. If not, the shooting simply starts straight afterwards: at the door, on the steps, at the drinks reception.
- Put a card with the QR code on the table at dinner. You design the printable card in the editor with your names and your own photo, in A4, A5 or A6.

Each registry office sets its own rules. Some allow photos during the ceremony, others only by one designated person or only afterwards. It’s best to ask when you book your ceremony and pass the answer on to your guests.

Can guests share photos they’ve already taken with their phone camera?
Yes, if you allow existing pictures in the event settings. Guests can then upload photos from their phone’s gallery too – handy if people took pictures in the ceremony room before everyone had opened the link.
How much does Sammelmomente cost for a registry office wedding?
Up to 5 guests, Sammelmomente is free for 7 days. The 50 guests package is a one-off €39 per event and covers up to 50 guests with 25 photos each and 90 days of storage. There’s no subscription and no automatic renewal.
