At prom or the graduation party practically everyone takes pictures: students, parents, siblings, teachers. Afterwards the photos scatter across class chats, stories and private albums – and once summer is over and everyone moves to different cities, nobody can get at them any more.
A shared gallery for the whole year group collects the photos while everyone is still in the same room. The QR code goes on the tickets, the tables and the screen next to the stage.
Built for long guest lists
The Business package is enough for up to 250 guests with 50 photos each and stores the pictures for 365 days. Spread across the year group that’s usually well under one euro per person – an item any prom budget can absorb. You pay once; there’s no subscription.
Because guests only scan the code and shoot right in their browser, it doesn’t matter who has which phone or whether the parents are in some group or other.
Moderation, so the gallery stays nice for everyone
With several hundred guests, the odd picture ends up in the gallery that doesn’t belong there. So the committee can review photos before others see them. It’s best to share moderation between two or three people who take a quick look now and then.
After the ball you have a whole year to download all the pictures as a ZIP – for the yearbook, the leavers’ magazine or the first reunion.
Collecting photos at prom: step by step
- Create the event and get your QR code. You create your event in the browser, pick colours and a welcome message and get a QR code plus link straight away. It only takes a few minutes.
- Hand out the code. Print the card from the editor in A4, A5 or A6 and put it on the tables at prom – or send the link to the group beforehand.
- Guests take photos in the browser. Scan, confirm the privacy notice, start shooting. No app and no account. With poor reception, shots are stored and uploaded later.
- Reveal the gallery and save the photos. You open the gallery straight away, at a set time or with a click. Then you download all the pictures as a ZIP.

Tips for the organising committee
- Print the QR code on the tickets or the programme, in addition to the cards on the tables.
- Fold the cost into the ticket price: with 300 guests it comes to well under one euro per person.
- Appoint two people for moderation so approvals on the night don’t hinge on one person.
Frequently asked questions about this occasion.
Can the system handle that many people at once?
Uploads are downsized on the phone and retried automatically when things are busy or the signal drops, so no shot gets lost. At very large events it can take a little while at peak times for a photo to upload.
Can parents and teachers join in too?
Yes. Anyone with the QR code can join until the package’s guest limit is reached or you close the event to new guests.
What about embarrassing photos?
With moderation switched on, the year group only sees what the committee has approved. Rejected photos stay invisible and can be deleted.
How much does Sammelmomente cost for a prom?
Up to 10 guests, Sammelmomente is free for good. The 300 guests package is a one-off €79 per event and covers up to 300 guests with 40 photos each and 90 days of storage. There’s no subscription and no automatic renewal.
How do guests get the QR code?
Through the printable card from the editor (A4, A5 or A6) that you put out at prom, or through the event link you send by messenger or with the invitation. Both lead to the same page.
Do guests need an app or an account?
No. Guests scan the QR code, confirm the privacy notice and take photos right in their phone’s browser. Nothing is installed and no account is created.
