Event photos at work: lovely, but delicate
Summer party, Christmas do, kick-off or team day – photos of them are gold for internal comms and team spirit. At the same time they’re a sensitive subject at work: not every colleague wants to appear on the intranet holding a mulled wine, and open cloud folders or private messenger groups aren’t an option for many companies.
Sammelmomente is built for exactly this situation. Every guest confirms the privacy notice before their first shot, the gallery can only be reached through the secret event link, and with the Business package you review photos before anyone else sees them. After the storage period all pictures are deleted automatically.
Up to 250 guests, without an IT project
There’s nothing to install, neither for the organisers nor for the attendees. You create the event in the browser, print the QR code on table stands, name badges or the agenda and flash it up on the screen during the welcome. Employees scan it with their work phone or their own device and start shooting at once.
The Business package covers up to 250 guests with 50 photos each, offers your own colours and branding and stores the pictures for 365 days. You’re billed once per event – no subscription, no per-user licences and no automatic renewal.
What you can do with the pictures
After the event you download all approved photos as a ZIP and use them where they’re needed: on the intranet, in the leadership team’s review of the year, in onboarding or as a thank-you to the team. Agree internally beforehand what the pictures may be used for – especially if any of them are to go public.
A tip from experience: name one person to look after moderation. That way the gallery goes live the same evening or the next morning, while the mood is still fresh.
Collecting photos at the company party: step by step
- Create the event and get your QR code. You create your event in the browser, pick colours and a welcome message and get a QR code plus link straight away. It only takes a few minutes.
- Hand out the code. Print the card from the editor in A4, A5 or A6 and put it on the tables at the company party – or send the link to the group beforehand.
- Guests take photos in the browser. Scan, confirm the privacy notice, start shooting. No app and no account. With poor reception, shots are stored and uploaded later.
- Reveal the gallery and save the photos. You open the gallery straight away, at a set time or with a click. Then you download all the pictures as a ZIP.

How to roll it out at your company
- Clear it with your data protection officer and, where applicable, the works council beforehand – especially if pictures are going to be reused internally later.
- Show the QR code on the welcome slide and leave cards at the bar. Anyone who has scanned it once stays signed in for the evening.
- Close the event to new guests afterwards and download the approved pictures as a ZIP for the intranet.

Where are the photos stored?
In private storage that isn’t publicly accessible. Access is only possible through short-lived, signed links for signed-in guests and the host. Details are in the privacy policy.
Can we remove individual photos?
Yes. As the host you can reject or delete any photo. Deleted files can no longer be retrieved through old links either.
Do we get an invoice for accounting?
Package purchases are handled by a payment provider that issues an invoice. Purchasing the larger packages is currently being set up.
How much does Sammelmomente cost for a corporate event?
Up to 10 guests, Sammelmomente is free for good. The 300 guests package is a one-off €79 per event and covers up to 300 guests with 40 photos each and 90 days of storage. There’s no subscription and no automatic renewal.
How do guests get the QR code?
Through the printable card from the editor (A4, A5 or A6) that you put out at the company party, or through the event link you send by messenger or with the invitation. Both lead to the same page.
Do guests need an app or an account?
No. Guests scan the QR code, confirm the privacy notice and take photos right in their phone’s browser. Nothing is installed and no account is created.
